ProjectEDGE Modules

The ProjectEDGE opening view shows the open Action Items with any past due items emphasized at the top of the list. The responsible person and any copied parties are automatically informed of Action Item assignments and completions.

Action Items include follow-up tasks from many sources including meetings, contract administration including change management, RFI's, submittals, correspondence, safety violations, overdue punchlist or warranty correction, and insurance expirations. The Action Item view also lists daily field reports and periodic project status reports.

The Action Items can be viewed by date or by responsible party.

Communications

Incoming and outgoing communications such as letters, memos, faxes, transmittals, or e-mails can be initiated or captured in the database. Notes of telephone conversations including follow-up calls can also be entered.

Other features include Action Item follow-up, form letter generation, envelope and mailing label printing, as well as addressing of all documents by selecting the information contained in the project phonebook.

All correspondence items use a draft status to allow necessary editing. Once the author designates the item as "final" the contents are sealed to prevent any additional change by anyone.

Conventional word processing applications can be used to generate the correspondence if the user prefers. However, rather than cutting and pasting, most users generate their correspondence directly in ProjectEDGE.

Contracts

The contract portion of the database contains all the contract administration tools necessary to initiate, monitor and closeout contracts, requests for change, change orders, back charges, purchase orders or work orders. All items are tracked through their approval steps to execution. Insurance, bonding, lien waivers and retention release can also be administered in the database. The completed documents can be attached for reference.

Accounting interfaces are being developed to transfer contract information from ProjectEDGE to popular accounting applications.

The threaded discussion component brings an interactive tool for collaboration of all of the team members who can initiate a discussion topic and categorize it as architectural programming, value engineering etc. Readers can respond with their comments and suggestions including any supporting attachments. The author, as Process Owner, determines when the issue can be closed and adds codes to create a decision log.

Drawings

Listings of drawings: current or historical, revised, supplemental sketch, or as-built, as well as consultant reports and specifications are kept. A current drawing list is just a "click away" for any authorized user. Drawings can be attached for distribution, viewing and markup using a browser. Users can subscribe to individual drawings or drawing packages to receive notices of changes.

Meetings

ProjectEDGE allows users to define multiple tracks of similar meetings such as Core Team, Kickoff, Programming, Weekly Project, Commissioning and Closeout Meetings. The database provides an agenda planning tool, as well as note taker forms for use during the meeting.

Both meeting minutes and reader comments can include attachments. One or more Action Items can be tied to each item of the meeting minutes.

ProjectEDGE provides the tools for a virtual meeting in which the participants meet electronically to discuss the topics. Such a virtual meeting frees all the participants from their schedule constraints or physical location by allowing them to participate when they are available. Through the replication process, the agenda, meeting discussions, reader comments, Action Items and any attached information are made available to all users having the appropriate security designation.

The phonebook lists all contact information for companies and persons and is used to fill out user information throughout the application by simply selecting the company or person from a pull down list. Correspondence can also be created from within the Phonebook for user convenience.

The Phonebook can be copied form a master database or from other projects when needed. The entries can be coded by user-defined categories for such diverse purposes as contractor bid lists or lead tracking.

Photos and scanned images from a variety of sources can be displayed on the photo pages or in the reports. Whether used for progress reporting or problem solving, the photos provide an added dimension to the database.

Punchlist

As part of project completion, ProjectEDGE monitors punchlist activities. Overdue completions, become Action Items until signed off by the author of the item. Process templates are provided to speed punchlist data collection. Room location and responsibility sorts assist in disseminating and updating the punchlists. PDA interfaces are being developed for field use in viewing and updating punchlists.

Requests for Information (RFI)

RFIs are sent through the database on routes determined by the users. Routes are setup for each design discipline and for hybrids of several disciplines. The route participants as well as interested parties are notified of the pending and completed actions. RFI decisions contribute to Action Items and can be coded for the decision log.

Safety

ProjectEDGE tracks and manages safety plans including MSDS sheets, safety violations, and OSHA inspections.

Service Requests

Warranty administration and occupant HELP DESK service requests are handled in this section of the ProjectEDGE database. Warranty views are similar to the Punchlist views. Service Request provides a dispatch function for the special needs of occupants.

Submittals

ProjectEDGE tracks the submission and routing of submittals and samples. The project team sets up a routing track for each type of submittal, which is used as the workflow for the approval of submittals. Interested parties can be notified of the submittals currently in process.

Users can apply a process approach by beginning with a master listing of expected submittals and samples. The master list can be used to develop the specific list for the project. Scanned and/or photographic images can be used as attachments to process the submittal electronically at considerable savings of both time and expense.

Management Reports

In the Management Report section of the database, ProjectEDGE provides a means of integrating financial, schedule, budget, critical issues and project status reporting. Links with popular accounting and scheduling packages are being developed.

The summary level of detail found in most of the Management Report templates is intended for senior management personnel of the owner and project team. The Management Report is designed to provide the live equivalent of information, which would be published in a monthly report. The Management Report also includes a slide show feature that can be used for presentations of project information.

The Management Report section also contains daily field reports and periodic status reports. The users can select up to 12 templated sections to include in the current month's report. The reports can include photos, schedules and cost reports from other applications.

Change Management

ProjectEDGE's Change Management module puts financial and schedule control in your hands. Any potential changes in cost or time against the project are logged and processed within the change management module. Each Change Management application is work-flow driven to provide the right information to the right people at the right time, so decisions are better supported and potential risks to the project are mitigated.

Each work-flow process is user-defined and controlled and there is no limit to the number of processes a team may want to implement. With ProjectEDGE, all stake holders can be kept fully abreast of the project's status, including what commitments are fully executed and what potential changes may be necessary.
